Presenter guidelines: oral

Oral presentations are organised in oral sessions scheduled in specific lecture rooms at specific times. The lecture room and time for each contribution is given in the programme.

The time assigned for each contribution includes discussion and change over. The oral sessions are scheduled in up to three time blocks per day.

The oral presentations are not organised centrally. Therefore, authors are kindly asked to upload their presentations directly in the respective lecture room within 30 minutes preceding the start of the actual time block of the session. A lecture room assistant will be available for any help.

Please inform the session chair and the assistant about the name of the presenting author in case this has changed since the programme was published.

Presentation preparation

Photo and video taking by the audience: It is not allowed to take photos or videos of scientific material shown in any oral or poster presentation unless the presenter authorizes this. Please inform the audience if you welcome photos and their sharing on social media by including an official graphic "photography encouraged" (download PNG, JPG, PDF)| "photography NOT allowed" (download PNG, JPG, PDF) on the first (or all) slide(s).

Lecture room equipment

  • Video projector (16:9);
  • PC for the upload of presentations (USB flash drive);
  • Bluetooth presenter to switch slides incl. laser pointer;
  • Microphones.

Lecture room software

The notebook in each lecture room is equipped with the latest versions of the following software:

  • Windows 10;
  • MS Office 2016 (Power Point, Word);
  • Adobe Reader
  • Microsoft Edge
  • Mozilla Firefox
  • Windows Media Player

It is possible to use your own notebook. HDMI and VGA connection is available.

Oral summary of posters

For most sessions time for 1-minute poster pitches is foreseen during the oral programme; please check the programme of your session on the website for details and prepare one or two slides for this purpose. You may also be asked ad hoc by the session chair for a summary presentation in case a gap should occur in the oral programme. Please see details in the guidelines for poster presentations.

Mobile phones must be switched off/in mute mode during the sessions.

Upload of presentations (after the conference)

The Programme and Science Committee would appreciate to have all presentations of the conference published online. We offer to upload your oral presentation as well as your poster as Power Point or PDF files for online publication alongside your abstract. This shall give all participants the chance to revisit your contribution. To declare your copyright and to enable this open access publication, your presentation will be distributed under the Creative Commons Attribution License. The upload of your presentation is free of charge and is not followed by a review process. All legal and technical information as well as the upload form will be available shortly after the conference.
